We have an exciting role available for an experienced legal assistant who is seeking variety in their day-to-day tasks.

This model not only facilitates networking and knowledge-sharing opportunities but also encourages secretaries to take on diverse challenges across various teams.
We are currently seeking a Float Secretary to provide cross-practice support. This person will also help to grow the re-designed virtual business services function by offering support to other offices when capacity arises. This role requires a flexible and adaptable approach to tasks, strong communication skills and the ability to manage up and delegate tasks during times when your own capacity is reduced.
Key Responsibilities:
- Provide high-level secretarial support across various teams, adapting quickly to the unique needs of each group.
- Act as a trusted advisor to partners and fee earners, offering consistent and reliable support regardless of team assignment.
- Serve as a role model and mentor to less experienced team members by sharing knowledge and best practices.
- Handle practice group-specific tasks and develop expertise in using specialized tools for global billing, client reporting, and knowledge management support.
- Build rapport with stakeholders efficiently, becoming a trusted and reliable point of contact.
- Proactively anticipate and address potential issues across different teams, taking a proactive approach to problem-solving.
- Ensure the accurate and timely management of billing processes, including matter opening, maintenance, closure, and archiving.
- Coordinate internal and external meetings effectively, ensuring logistical arrangements are seamlessly handled.
- Assist with the organization of complex travel bookings and logistical arrangements for various team members.
- Support ad-hoc projects and team events, demonstrating flexibility and the ability to manage multiple priorities.
- At least 5 years’ proven experience as a Legal Assistant or Secretary, ideally with experience floating across multiple teams.
- Strong knowledge of document management systems such as iManage and proficiency in Microsoft Office Suite.
- Excellent organizational, prioritization, and diary management skills.
- Effective verbal and written communication abilities, coupled with strong interpersonal skills.
- Demonstrated problem-solving skills and the capacity to make informed decisions.
- Flexible and adaptable approach, able to integrate into various teams smoothly and efficiently.
- Friendly, personable, and approachable, with a conscientious and diligent work ethic.
- Ability to remain calm under pressure, eager to learn, and develop further skills within a dynamic environment.
